Sustainability
At Seauton International, sustainability is an integral part of how we design, manage, and deliver our services. As a specialist in the meetings and events industry, we are deeply aware of the environmental impact large-scale gatherings can generate. That’s why we are committed to minimizing our footprint while maximizing the value and inclusivity of every experience we create.
Sustainability is embedded in every stage of our work: from strategic planning to on-site logistics, from supplier selection to attendee engagement. We aim to align our actions with both client goals and global sustainability frameworks.
Our Sustainability Model Includes:
- The promotion of hybrid and virtual event formats that reduce carbon emissions while expanding global access
- The selection of green-certified venues and partners who adhere to recognized environmental standards
- The use of recyclable, biodegradable, and paperless materials, such as digital programs, QR codes, and eco-friendly signage
- The deployment of smart digital tools that enhance participant interaction while reducing waste
- A commitment to local and inclusive procurement, partnering with diverse suppliers and community-based vendors
By embracing sustainable practices, we help clients deliver events and run associations that are not only impactful today—but also responsible toward future generations. Our internal guidelines reflect our long-term commitment to environmental stewardship, social accountability, and ethical collaboration.
Corporate Social Responsibility (CSR)
In the fast-paced world of meetings and events, Seauton International believes that responsibility and impact go hand in hand. Our approach to Corporate Social Responsibility (CSR) is embedded in how we design and deliver experiences—not just for our clients, but for the wider community.
As a proud member of the Uhoda Group, we are part of a larger ecosystem where social value, ethical practices, and community engagement are strategic priorities. This shared commitment extends across our sister companies, including Cecoforma, with whom we collaborate closely on socially responsible, inclusive, and community-driven projects.
Our CSR Focus Includes:
- Engaging with local suppliers and social enterprises to boost regional economies and reduce procurement inequality
- Promoting diversity and inclusion across all aspects of event delivery
- Supporting knowledge-sharing and development, both within our teams and in the professional associations we manage
Internally, we foster a workplace culture that values well-being, personal growth, and ethical responsibility. Our team members are encouraged to participate in socially impactful initiatives, many of which are supported or co-developed with other companies in the Uhoda Group.
For Seauton International, CSR is a value-driven approach that defines how we work, whom we partner with, and the legacy we strive to leave behind at every project.
Our ESG Approach
At Seauton International, we take a holistic and strategic approach to Environmental, Social, and Governance (ESG) practices. These principles are deeply embedded in both our event management and association support services, ensuring that every project we deliver contributes to a more sustainable, ethical, and inclusive future.
As an active partner in the global MICE industry and a provider of long-term association management, we recognize our responsibility to drive positive change—not only operationally, but also in the way we advise and support our clients.
Environmental
We design events and manage associations with a focus on environmental stewardship. Through hybrid and virtual formats, digital tools, sustainable sourcing, and green-certified partners, we help clients minimize their carbon footprint.
Our practices align with the EU Green Deal, the EU Climate Law, and support key goals outlined in the European Commission’s Sustainability Agenda—including carbon neutrality, waste reduction, and smarter resource use across industries.
Social
People are the core of every project we manage. We are committed to promoting diversity, inclusion, and community empowerment, both within our team and in the wider networks we engage through our work.
At Seauton International, we place Diversity, Equity, and Inclusion (DEI) at the heart of our internal approaches, event strategies, and association management services. We are committed to fostering environments where all voices are represented and respected, regardless of gender, age, background, ability, culture, or identity.
We help our clients design inclusive platforms—whether through speaker selection, accessible event formats, or member engagement strategies—ensuring fair participation and opportunity for all stakeholders. Internally, we cultivate a diverse and multilingual team, promote equitable leadership, and actively seek to reduce barriers in the event and association sectors.
Our events and association strategies strengthen equal participation, regional economic impact, and platforms for dialogue that prioritize accessibility and representation.
Governance
Transparent, ethical, and accountable governance is the backbone of sustainable success. We provide our clients—especially associations—with tools and frameworks to implement compliant financial processes, membership integrity, and long-term governance models.
Our internal governance reflects EU standards for professional ethics. We believe that responsible management today leads to resilient organizations tomorrow.
Data Protection & GDPR Compliance
At Seauton International, we understand that data privacy is not only a legal obligation but a fundamental element of trust—especially in the context of association management and event operations. As an organization based in Brussels and serving clients across Europe and globally, we operate in full compliance with the General Data Protection Regulation (GDPR) and other applicable data protection laws.
Our teams are trained to handle personal data with the highest standards of security, transparency, and ethical responsibility, ensuring that every stakeholder—whether a member, participant, partner, or client—can trust us to safeguard their information.
GDPR in Association & Membership Management
We work with professional associations, networks, and non-profits that manage large, dynamic communities of members, volunteers, and stakeholders. In doing so, we apply GDPR-compliant data processes that include:
- Secure membership database management, with consent-driven data collection and clear privacy policies
- Controlled access and permissions, ensuring that only authorized staff can access sensitive information
- Transparent communication practices, including opt-ins, unsubscribe options, and data access rights
- Retention and deletion policies, aligned with the legitimate interest and purpose of data use
GDPR in Event Organization & Operations
Whether we’re organizing large congresses, strategic meetings, or hybrid events, we manage a wide range of personal data—from attendee registration details to speaker profiles and communication preferences. Our approach includes:
- GDPR-compliant registration platforms, with customizable consent options and user-friendly privacy statements
- Secure processing of participant and travel data, including dietary, accessibility, and logistical details
- Privacy by design in digital tools (registration tools, virtual platforms, feedback forms)
- Clear data-sharing policies with third-party vendors and suppliers, including NDAs and DPA agreements
- Post-event data handling, including anonymized reporting, data minimization, and timely erasure
Whether acting as a data controller (for internal operations) or as a data processor on behalf of our clients, Seauton International ensures full compliance through:
- Staff training and awareness
- Documented internal policies and procedures
- Incident response and data breach protocols
- Transparent collaboration with clients on shared responsibilities
We regularly review and update our systems, contracts, and processes to reflect evolving data protection standards. Our priority is to ensure that every association, event, and individual we support can feel confident that their data is handled ethically, securely, and in full accordance with EU regulations.
